Case Study 04 - Commercial Real Estate Insurance - REIX

A Practical Hybrid Cloud Strategy for Insurance

Real Estate Insurance Exchange (REIX) supports a small hybrid team using Microsoft 365 and an Azure-hosted claims-management system. One Piece IT was selected to design and deliver a hybrid-cloud migration that would modernize file collaboration while retaining local infrastructure for essential legacy applications.

Overview

Organization

Real Estate Insurance Exchange

An insurance organization supporting a small hybrid team and business-critical applications.

Industry

Insurance & Professional Services

Supporting collaboration, claims management, and essential accounting operations.

Challenge

Aging Server Infrastructure

An aging physical server needed replacement, while legacy applications still required local infrastructure.

Solution

Hybrid Cloud Modernization

Planning Microsoft 365 file collaboration alongside a smaller local server for essential legacy systems.

Challenge

Modernizing Collaboration While Supporting Legacy Systems

REIX’s physical server was approaching the end of its lifecycle. Although most file storage could move to Microsoft 365, legacy accounting applications and specific operational requirements still depended on local infrastructure.

The organization needed a practical approach that supported its hybrid team while preserving access to essential systems. A transition from the existing IT provider also required coordinated onboarding, an asset inventory, and planning for endpoint protection, backups, and email security.

Solution

Connecting Microsoft 365 With Essential Local Infrastructure

One Piece IT designed a hybrid-cloud migration approach based on the organization’s files, applications, and access requirements. The signed scope combined Microsoft 365 configuration, phased data migration, staff training, and a reduced local server footprint.

Assess and Organize Data

The migration plan begins with an inventory of server data and an assessment of which files and systems can move to the cloud. It includes retention requirements, access controls, and folder structures for Teams and OneDrive.

Enable Cloud Collaboration

The scope includes configuring Teams, OneDrive, and SharePoint, migrating personal and shared files, and validating data and access. Staff training and user documentation are included to support the transition.

Preserve Essential Legacy Systems

The design retains a smaller local server for legacy accounting applications and operational needs. The scope also includes post-migration monitoring and adjustments to permissions and storage allocations.

Outcome

A Clear Plan for a More Flexible IT Environment

In January 2026, REIX and OPIT signed an agreement to deliver the hybrid-cloud migration. The agreed approach establishes a path for moving everyday file collaboration to Microsoft 365 while retaining local infrastructure where it remains necessary.

The project is designed to balance modernization with operational requirements. Its scope includes data and access validation, staff training, and post-migration monitoring to support the transition and guide further adjustments.

Documented plans for wireless improvements and cloud file migration provide a path for further modernization. Together with ongoing managed services, this work supports a coordinated approach to maintaining existing systems and planning future improvements.
